Who this covers

This policy applies to the Group Games iOS app, published by Breakaway Ventures Pty Ltd (ACN 700 352 478, ABN 84 700 352 478), a company registered in New South Wales, Australia. In this policy "we" and "us" mean Breakaway Ventures Pty Ltd, and "the app" means Group Games.

What stays on your device

Most of what the app holds never leaves your phone or iPad. That includes:

• Your run sheets — titles, dates, times, notes, the games on them, and any people you've assigned to items
• Your favourite games
• Your list of leaders' names, used to assign people to run sheet items
• Anyone you've blocked
• Small settings, such as whether you've seen the welcome screens

We cannot see any of this. It sits in the app's own storage on your device and is included in your device backups if you have those turned on. Deleting the app removes it.

What happens when you share a run sheet

Sharing is optional and off until you choose it. When you share a run sheet, the app uploads a copy of that sheet to Apple's CloudKit service, in a public database belonging to the app. It is given a six-character code, and anyone with that code can open it — including people you didn't give the code to, if it is passed on.

What is uploaded

• The sheet's title, date, start time, expected group size and number of teams
• Your notes on the sheet
• Each item on it: the game or your own item title, how long it runs, your notes, anything you listed to bring or prepare, and the names of anyone you assigned to it
• An identifier Apple gives us for the account that published it

Who can see it

Anyone with the code. Recipients do not need an account, an Apple ID, or the app's paid features to open a shared run sheet.

We can also read it. Content in a public database is accessible to us, and this is deliberate: Apple's rules require us to be able to review and remove content that people report, and we cannot do that with content we cannot see. Run sheets you never share are not in this database and are not accessible to us.

The identifier we store

When someone shares a run sheet, Apple gives us an identifier for the account that published it. It is specific to this app — it is not your Apple ID, your name, your email address or your phone number, and it cannot be used to identify you outside Group Games. We use it for two things only: so that blocking someone works, and so that repeated reports about the same publisher can be recognised.

Names of other people on your run sheets

You can assign people to parts of a run sheet. If you then share that sheet, those names are uploaded with it and can be read by anyone with the code, and by us.

The app asks you to use as little detail as you need — a first name and a last initial is usually plenty — and we ask you not to include anyone's contact details, address, or anything private about them. Please take particular care with the names of young people. If you would like a name removed from a shared run sheet, you can edit the sheet and share it again, or contact us.

Reports and blocking

Anyone can report a shared run sheet from inside the app. A report records the sheet's code, the identifier of the account that published it, the reason chosen, anything you typed, and the time it was made. It does not record who made the report.

Reports are stored so that we can review the sheet, act on it, and recognise a publisher who is reported repeatedly. We aim to review reports within 24 hours.

Blocking someone is entirely private and stays on your device. Nothing is uploaded, and the person you blocked is not told.

What we don't do

• No advertising, and no advertising networks in the app
• No analytics or usage tracking, and no third-party analytics tools
• No tracking across other apps or websites
• No selling, renting or sharing of personal information for anyone else's marketing
• No collection of your name, email address, phone number, contacts, photos or location

Apple's role

Shared run sheets and reports are stored using Apple's CloudKit service, which acts as our hosting provider. Apple's handling of that data is governed by Apple's Privacy Policy. If you download the app or make a purchase, Apple also handles that transaction and we never see your payment details.

Children and young people

Group Games is made for the adults who run youth groups, school groups, camps and church programmes. It is not directed at children, and we do not knowingly collect personal information from children.

We recognise that a leader may write a young person's name onto a run sheet and then share it. That is why the app steers you towards minimal detail, and why we will remove such information promptly on request. If you believe a shared run sheet contains a child's personal information that shouldn't be there, contact us and we will remove it.

How long things are kept, and how to have them removed

Run sheets you have never shared are kept only on your device, for as long as you keep them.

A shared run sheet stays in the public database until you delete it. Choosing Stop sharing in the app makes it unopenable and tells anyone holding the code that it was withdrawn, but the underlying record is retained so that recipients get that message rather than an error. If you want a withdrawn sheet permanently deleted, email us with the code and we will delete it.

Reports are kept while they remain useful for recognising repeat problems, and no longer than necessary for that purpose.

You can ask us at any time to tell you what we hold about you, to correct it, or to delete it. Email support@breakawayventures.com.au and we will respond within 30 days.

Security

Data on your device is protected by your device's own security and encryption. Data in transit to and from Apple's servers is encrypted. Content in the public database is, by design, readable by anyone with the relevant code and by us — so please treat a shared run sheet as something that could become public, and don't put anything sensitive on one.

No system is perfectly secure. If we become aware of a data breach likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner as required by Australian law.

Your rights

We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). You may ask for access to the personal information we hold about you, ask us to correct it, ask us to delete it, or complain about how we've handled it.

Email us first — we would rather fix a problem than have you chase it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

If we change how the app handles information, we will update this page and change the effective date at the top. Significant changes will also be noted in the app.
